MACRO Recruitment is an Australian recruitment agency that assists candidates and employers across Australia. We provide permanent, contract, and labour hire recruitment services.

2. The kinds of personal information we collect

  • Candidates: name, contact details, work history, education, referees, skills, work rights and visa status, professional memberships, availability, salary expectations, compliance and onboarding information.
    • Sensitive information with consent where relevant to a role: criminal history checks, health or medical information related to role requirements, background screening results, Working With Children or WWVP checks, vaccination status if required by law or a site.
  • Employers and suppliers: work contact details, role briefs, invoicing and payment details.
  • Website users: IP address, device information, cookies, pages viewed, job alert preferences, documents you upload.
  • Referees and third parties: feedback about a candidate’s work history and performance.

If you provide information about someone else, please ensure you have their consent.

3. How we collect personal information

  • Directly from you by phone, email, our website forms, job boards, social platforms, or during interviews.
  • From referees and background screening providers with your consent.
  • From publicly available sources such as LinkedIn and professional websites relevant to recruitment.
  • From our clients when they engage us to recruit.

4. Why we collect and use personal information

  • To assess your suitability for roles and to provide recruitment services.
  • To create and manage your profile in our Applicant Tracking System and candidate database.
  • To communicate with you about roles, interviews, offers, and onboarding.
  • To verify identity, work rights, qualifications, registrations, and checks required by law or by a client.
  • To provide services to our employer clients and manage our business operations, compliance, reporting, and billing.
  • To send job alerts or marketing where you have opted in. You can opt out at any time.

We will not send your identifiable CV or personal details to an employer without your consent. Consent may be given by email, SMS, portal, or recorded call note. You can withdraw consent at any time.

5. How we use AI

  • We use AI tools to improve speed and quality in our process.
  • We use paid API services to search within our internal database and to rewrite CVs or summaries for clarity and formatting.
  • We apply data minimisation. We avoid including unnecessary personal or sensitive information in prompts.
  • Outputs are reviewed by a human recruiter before any decision or external sharing.
  • We do not use AI to make automated final hiring decisions.
  • We do not sell personal data to any AI provider.
  • We configure our AI vendors so that your data is not used to train their public models where such controls are available.

If you do not want your information processed with AI tools, contact us and we will flag your profile to opt you out where practicable.

6. Disclosing personal information

We may share personal information with:

  • Employer clients, only with your consent, for the purpose of considering you for a role.
  • Referees, background check providers, skills testing providers, medical or fitness-for-work assessors where required and with consent.
  • Government agencies, regulators, or law enforcement where required by law.
  • Technology and service providers who host our systems, communication tools, analytics, or AI processing.
  • Some providers may be located outside Australia, which may include the United States, the European Union, Singapore, or other locations.

Where we disclose overseas, we take steps to ensure providers protect personal information in line with the Australian Privacy Principles and our contractual requirements.

7. Storage and security

We store information in secure cloud systems and our recruitment CRM/ATS. We apply role-based access, encryption in transit and at rest where available, password and MFA controls, logging, and staff training. Despite safeguards, no method is 100 percent secure.

8. Data retention

Candidate profiles are retained while you are active in our network or while we have a business need or legal obligation to keep records.
If you ask us to deactivate your profile, we will retain only what is required for legal, audit, or dispute purposes, then delete or de-identify the rest.

9. Your rights

You can request access to the personal information we hold about you and ask us to correct it if it is inaccurate, out of date, or incomplete. We may ask you to verify your identity. If we refuse a request, we will tell you why.

10. Direct marketing

We may send job alerts and recruitment updates. You can unsubscribe using the link in the message or by contacting us.

11. Cookies and analytics

Our website uses cookies and similar technologies to improve site performance, remember preferences, and measure traffic. You can control cookies through your browser settings. Blocking some cookies may affect site features.

12. Notifiable data breaches

Our services target adult job seekers. We do not knowingly collect personal information from children.
